The Privacy Policy of Hood Cleaning London is the statement of how this website collects, uses, stores and deletes the personal details a visitor sends through the quote form or the phone line. It follows the Personal Information Protection and Electronic Documents Act (PIPEDA), the federal privacy law for private businesses in Canada. What the quote form collects

Five fields you type, and three details the page adds on its own.

  • Your name, so the reply is addressed to the right person.
  • Your phone number, so a detail can be confirmed by a call.
  • Your email address, where the written quote, certificate and photographs are sent.
  • Your business or kitchen name, so the quote is tied to the right site.
  • Your message, which is whatever you choose to write about the kitchen.
  • The page address and page title the form was sent from, recorded automatically.
  • A timestamp of when the page loaded, used to filter out automated spam.

The form also contains a hidden field that people never see. Automated bots fill it in, and any submission that does is thrown away. The form does not ask for payment details, identity numbers or anything about your health.

Where a submission goes, and who sees it

One path, two systems, one team.

The path. When you press send, your browser posts the form to a small serverless function hosted by Netlify, the company that hosts this website. That function checks the submission for spam and forwards it to the GoHighLevel CRM, the customer relationship software used to manage enquiries, quotes and follow-up. The function does not keep its own copy.

Who sees it. The details are seen by Hood Cleaning London and the operating crew that carries out the work, so they can quote, schedule and follow up. Staff at Netlify and GoHighLevel may have technical access to their own systems under their own privacy terms, but they do not use your details for Hood Cleaning London purposes.

Where it is stored. The CRM and hosting providers may store data on servers outside Canada. Details stored outside Canada are subject to the laws of the country where the server sits.

Retention, access, correction and deletion

Your record is yours to see and to change.

How long details are kept. A record stays in the CRM for as long as it is needed to answer your enquiry and, if you book, to keep the service history that a future certificate or inspection may depend on. A request that never becomes a booking can be deleted as soon as you ask.

How to ask. Phone 226-457-6745 and say whether you want to see your record, correct it or delete it. You will be asked to confirm the phone number or email on file so nobody else can change your details. Requests are handled within the 30 days PIPEDA allows.

What deletion covers. Deleting removes your contact record and form submission from the CRM. Invoices for work already done may be kept where tax law requires it.

If you are not satisfied. You can complain to the Office of the Privacy Commissioner of Canada, which oversees PIPEDA.

Cookies, the chat window and what never happens

The site keeps tracking to a minimum.

Cookies. The site does not run advertising cookies. Like any website, the hosting provider records standard server logs, such as an IP address and the page requested, to keep the site secure and working.

The chat window. Where a chat window appears on the page, it is provided by the same GoHighLevel platform as the CRM. It loads only after you interact with the page, and it may set cookies to keep a conversation open. Anything you type into it is stored with other enquiries and handled under this policy. Blocking cookies in your browser turns those cookies off.

No sale of data. Your details are never sold, rented or traded, and they are not added to a marketing list you did not ask to join.

Canadian law. This policy is governed by PIPEDA and the laws of Ontario. The conditions of the work itself are set out in the terms of service.

A deletion request is made by phone at 226-457-6745. After confirming the phone number or email on file, the contact record and submission are removed from the CRM.

Is the page address I sent the form from recorded?

The page address and page title are recorded with every submission. They show which page a request came from and contain nothing personal on this site.

Which law protects my information?

The Personal Information Protection and Electronic Documents Act (PIPEDA) protects personal information collected by private businesses in Canada, including this one. Complaints can go to the Office of the Privacy Commissioner of Canada.
